Membership Terms

Group-Fit Memberships:

Prepayment is mandatory either on a weekly or fortnightly basis as per your agreement.

*Group-Fit Contract: Prepayment of $34.50 per week for 6-months.  This membership is valid for 6 months and will auto-renew unless written cancellation is provided at least 14 days before the 6-month renewal date.

Group-Fit Open Term: Prepayment of $44.50 per week. An ongoing membership with a 1-month notices period required for cancellations.

*All Access Pass Contract: Includes Group-Fit and Gym-Fit at 44.50 per week. This membership is valid for 6 months and will auto-renew unless written cancellation is provided at least 14 days before the 6-month renewal date.

 All Access Pass: Includes Group-Fit Open and Gym-Fit at $54.50 per week.

10-Trip Pass: The 10-Trip Pass is priced at $225, this pass enables access to all Suburban Fitness classes except for Reform Fit. Valid for 60 days.

*CFM Gym and Group-Fit Membership: Prepayment of $19.95 per week for 36 – month term

The cancellation policy requires a notice period of one calendar month for all memberships, apart from the Group-Fit Contract and All Access Pass Contract, which mandates the payment of remaining dues if terminated before the expiration date.

The cancellation policy for CFM contracts paid through Debit Success mandates the payment of 25% of remaining dues if terminated before the expiration date. Exceptions apply see below:

*Residence changes permanently by more than 22km (2 forms of proof required). Doctor certifies inability to use facility for no less than 12 months. $100 cancellation fee applies to exceptions.

 

Reformer Pilates Membership Options

Reform-Fit x 2 – Enjoy 2 weekly Reformer Pilates classes for just $54.50. The pass is valid for 3 months and will auto-renew unless written cancellation is provided at least 14 days before the 3-month renewal date.

Reform-Fit x 3: – Enjoy 3 weekly Reformer Pilates classes for just $74.50. The pass is valid for 3 months and will auto-renew unless written cancellation is provided at least 14 days before the 3-month renewal date.

10-Trip Reform-Fit Pass: The 10-Trip Reform-Fit Pass at $295, this pass enables access to all available Reform-Fit Classes only. Valid for 60 days

Reform-Fit Casual Drop in Pass: drop in for 1 class for $32. This pass is valid for 30 days at time of purchase.

At the time of writing, each class offers only six reformer beds. To ensure classes run at full capacity and allow maximum participation for members, the following conditions will apply:

Waitlist Policy

If your desired class at the studio is fully booked, we encourage you to join the waitlist. Here's how it works:

More than 12 hours before class: If a spot opens, the first person on the waitlist will be automatically added to the class and notified.

Class Cancellation Policy

If you need to cancel your booking, please use the online booking system to do so at least 12 hours before the class starts. We cannot process cancellations made via phone, email, social media, or any other methods. You can cancel through the XODA app or online portal under the "Bookings" section.

Early Cancel: Cancel at least 12 hours before the class start time to retain your session credit.

Late Cancel: Cancellations made within 12 hours of the class start time will result in the session being forfeited.

No Show: If you miss a class without cancelling, the session will be forfeited.

Socks Policy: To ensure both safety and hygiene, all participants are required to wear grip socks.

 

Gym-Fit memberships

Gym-Fit 12-month membership: prepayment of $11 per week. This membership is valid for 12 months and will auto-renew unless written cancellation is provided at least 14 days before the 12-month renewal date.

This contract mandates the payment of remaining dues if terminated before the expiration date

Gym-Fit Open Term Contract: prepayment of $18.50 per week with a cancellation period of one month.

*CFM Gym – Fit Membership: Prepayment of $7.95 per week for 36 – month term

 Partner-fit Membership

Our Partner-Fit offering requires weekly or advanced payment. This comprises a 12-week contract with no cancellations or refunds, with exceptions as detailed below. The upfront payment for Partner-Fit is $2450 or weekly payments of $210 for 12 weeks.

Refunds and cancellations are not permitted unless in cases of severe injury or illnesses at the discretion of our trainers. Please note feeling unwell or minor discomfort does not qualify for cancellation

Cancelling a Partner-Fit membership before the end of the 12-week period will require payment of any remaining dues for the full term if terminated early.

Personal-Fit Memberships

For Personal-Fit, pricing begins at $70 for one weekly session, $140 for two, and $210 for three.

If you are late for a session, it will still conclude at the originally scheduled time. If your trainer is late, extra time will be added.

Refunds and cancellations are not permitted unless in cases of severe injury or illnesses at the discretion of our trainers. Please note feeling unwell or minor discomfort does not qualify for cancellation

To discontinue with Personal-Fit a 14-day notice period is required.

 

Membership Holidays

Paid memberships can be paused for a minimum of 1 week and up to a maximum of 8 weeks per calendar year.

For contracted memberships, any suspended time will be added to the end of your membership term.

Membership cancellations cannot be processed while a membership is on pause. All remaining fees and time added will be calculated and become payable prior to cancellation.

To request a suspension, please email mark@suburbanfitness.co.nz Allow up to 72 hours for processing. Please note that the total suspension period is limited to 8 weeks per year.

Membership Termination

To discontinue any membership, please refer to the cancellation details for your membership as detailed above.

For 12-month and 6-month contracts, you will be liable to pay the remaining dues for the duration of the contract.

For CFM contracts paid via debit success, the following applies:

Missed Payments

Failed payments will trigger an email notification from XODA/EZYPAY, including a link to complete the payment. Alternatively, missed payments can be resolved directly through the XODA app under the Profile tab. Please note that XODA applies an $8.90 fee for any missed payments.

If an automatic debit fails for any reason, Suburban Fitness reserves the right to retry the payment at later time once sufficient funds become available in your account.

 

Debt Recovery

Suburban Fitness has entered into a partnership with NZ Recoveries to manage the recovery of all outstanding debts incurred by gym members after 14 days of non-payment and lack of communication. This collaboration enables Suburban Fitness Ltd to effectively recover owed funds, thereby maintaining its financial stability and continuing to deliver quality fitness services to its members. By outsourcing this process to NZ Recoveries, Suburban Fitness seeks to enhance the efficiency of debt collection while ensuring a professional approach to managing member accounts.

Client Rights & Liability Waiver

As a participant, you have the right to withdraw from any exercise or program after consultation with your trainer. You may lodge complaints to the relevant party or legal agency if unresolved.

Suburban Fitness reserves the right to use any video, audio, or images captured during sessions for promotional purposes.

Medical Advisory: Participation in Suburban Fitness exercise sessions is entirely at your own risk. Please disclose any relevant health concerns and consult a healthcare professional if needed. Suburban Fitness staff are not medically trained and, therefore, cannot accurately assess your physical condition or determine your suitability for classes. If you have any doubts about your ability to safely participate, we strongly recommend seeking advice from a qualified healthcare provider to ensure your health, safety, and well-being.

Limitation of Liability: Suburban Fitness Limited is not liable for personal injury or loss, except as required by law.

Pregnancy and Postnatal Care: Pregnant or postnatal clients must obtain clearance from a healthcare professional, such as a doctor, lead maternity carer, or women’s health physiotherapist, before attending sessions at Suburban Fitness.

Shoes and Socks Policy: Shoes must always be worn in the training area. For safety and hygiene purposes, grip socks are mandatory for all Reform-Fit participants.

Children in the Studio: Children are only permitted in the gym if they are attending classes specifically designed for them or with the approval of the trainer conducting the session. Designated areas are available within the gym for children to stay. However, if a child becomes distressed, it is the parent's responsibility to comfort and attend to them.

Privacy Policy

We collect personal information, including:

Name, mobile number, billing address, purchase details, date of birth, and email address.

This information is used to provide our services and is protected through secure encryption of credit card data using industry-standard technology.

We may contact you for the following purposes:

Account notifications, troubleshooting, resolving disputes, collecting payments owed, conducting surveys, sharing studio updates, or enforcing our Terms and Conditions or applicable laws.

We may reach out via email, phone, text message, or postal mail.

You have the right to request a copy of your personal information and to correct any inaccuracies. To do so, please contact us at mark@suburbanfitness.co.nz.

We respect your rights under the Privacy Act, and your information will only be used to facilitate your program and track progress.
